Personal assistant

AI personal assistant for your business

An AI personal assistant connected to the calendar and email you already use, not another app. It books meetings, sorts email and sends only when you approve.

  • Connects to the calendar and email you already have, with no new app
  • One message every morning: what’s urgent in your inbox, and what’s ahead today
  • No email or invite goes out in your name without approval, until you decide otherwise

Your assistant is set up and supported by Shahaf Platin of Platin Digital, who builds AI assistants for businesses after 12 years in websites and marketing.

  1. You ask: Set up a meeting with the client and send me a reminder beforehand.
  2. A free slot found
  3. I found a time that works. Send him an invite, and remind you beforehand?
Illustration: how it looks, from your request to your approval

Wednesday, 4:10 PM

A client emails: "Can we meet this week about the plans?"

Settled only on Friday, after five messages

  1. You’re between two meetings, and the email waits until nine at night
  2. That evening you open your calendar and suggest Thursday at ten
  3. The client sees it only the next day at noon, when the time has already passed, and asks for another slot
  4. You suggest again, and he confirms on Friday: you’ll meet next week at the earliest
  5. You walk into the meeting without remembering what you agreed in the last email

The invite went out at 4:14 PM, and the client confirmed that evening

  1. The assistant messages you: "A client asked to meet this week." You reply: "Set it up with him and remind me beforehand"
  2. It finds a free slot in your calendar, and sends you the day, the time and the wording of the invite
  3. You approve, and the invite goes to the client from your email
  4. An hour before the meeting you get a reminder, with what you agreed in the last email

It all happens inside the calendar and email you already have, and you message the assistant on WhatsApp. There’s no app to download.

In short

What it is

An AI personal assistant is software that works for you the way a personal assistant would: you message it on WhatsApp, and it works in your calendar and your email.

The work it takes on

It books meetings, tells you which emails are urgent, reminds you about a quote nobody answered, and sends one message every morning with what’s ahead today.

What stays with you

Every email and invite that goes out in your name comes to you first for approval, until you decide otherwise. Who you meet and what you answer is your call.

How you start

With one task that sends nothing to anyone, such as a morning summary. We connect it, you check it for a week, then we add the next task.

What the assistant does for you

Six things you can ask it for. You write each request once, the way you’d explain it to a new assistant in the office.

Booking meetings

You message it on WhatsApp, once

"Client meetings only between nine and four, and never on Friday. Fridays I’m on site"

From then on, every time
  • Finds a free slot in your calendar that fits what you asked
  • Sends you the time and the wording of the invite
  • Sends the invite to the client once you approve
  • Messages you when two meetings land on the same hour

Sorting email

You message it on WhatsApp, once

"Every morning tell me which emails are urgent, which can wait and which are promotions. An email from a client or the planning office is always urgent"

From then on, every time
  • Reads what has come in since yesterday
  • Marks what’s urgent, based on what you told it matters
  • Sums up a long thread in three lines
  • Drafts a suggested reply to emails that keep repeating, and waits for your approval

Chasing what went unanswered

You message it on WhatsApp, once

"I sent a quote and there’s been no answer for four days? Remind me"

From then on, every time
  • Keeps track of emails you sent that got no reply
  • Reminds you on day four, with the email you sent
  • Drafts a nudge to the client in your style, sent once you approve

Morning summary

You message it on WhatsApp, once

"Every day at 7:30 AM send me what I have today and what’s waiting for my answer"

From then on, every time
  • Goes through today’s calendar and the emails that came in overnight
  • Sends you one message: today’s meetings, and the emails only you can answer
  • Tells you if two of tomorrow’s meetings are set for the same hour, and suggests which to move

Meeting prep

You message it on WhatsApp, once

"An hour before every client meeting, remind me what we agreed last time"

From then on, every time
  • Finds your latest emails with the client
  • Sends you, in three lines, what was agreed and what’s still open
  • Tells you the last file you sent them, and when

Things you promised

You message it on WhatsApp, once

"When I write ‘note this’, add it to the list and remind me on the day I set"

From then on, every time
  • Adds what you wrote to your task list
  • Reminds you on the morning of the day you set
  • Asks whether it’s done, or should move to another day

This is how we start: with the tasks that reach only you, such as the morning summary, meeting prep and the list of what you promised. Booking meetings and reminders to clients join once you see the assistant understands what matters to you.

One meeting, from the request to the reminder

The example from the top of the page, step by step. Say you run a small architecture practice, and a client emailed asking to meet this week.

  1. The assistant messages you, and you reply

Wednesday, 4:10 PM. The client’s email arrives while you’re between two meetings. The assistant messages you on WhatsApp that a client asked to meet, and you answer in one line. You don’t open your email or your calendar.

  2. It checks your calendar

It goes through your week using what you told it once: client meetings only between nine and four, and never on Friday, because that’s your day on site. It finds a free slot tomorrow, Thursday, at 11:00 AM.

  3. It asks you

You get this on WhatsApp: "I found a time that works. Send him an invite, and remind you beforehand?", with the day, the time and the wording of the invite. You answer "Send", or ask for a different time. Until you answer, the client has received nothing.

  4. The invite goes out

You answered "Send", and at 4:14 PM the invite goes to the client from your email. The meeting goes into your calendar. If the client replies that he can’t make that time, the assistant finds another slot and asks you again.

  5. A reminder beforehand

On Thursday at 10:00 AM you get one message on WhatsApp: who the meeting is with, what you agreed in the last email, and what’s still open.

After a few weeks in which you’ve approved every invite without changes, you can decide that invites to existing clients go out without asking. It’s your decision, and you can reverse it at any time.

What happens when the week doesn’t follow the calendar

An ordinary calendar and inbox keep what you put into them, and wait for you to open them. The assistant reads what was written, then prepares the next step and asks you. Five cases from a small office’s week:

The client answers the invite: "I can’t do Thursday, maybe an afternoon another day?"

Ordinary calendar and emailThe reply waits in your inbox until you read it, and the meeting stays in the calendar at a time that’s no longer right

AI personal assistantReads the reply, finds two free afternoon slots, and asks you which to offer

A client cancels an hour before the meeting

Ordinary calendar and emailThe calendar updates quietly, and you find out when you’re already on your way

AI personal assistantMessages you on WhatsApp that the meeting was canceled, and suggests two other times

A long-standing client writes "let’s talk when you can" about a big project, without the word "urgent"

Ordinary calendar and emailThe email sits among thirty others, and you get to it two days later

AI personal assistantKnows this is a client you marked as important, and puts the email first in the morning summary

You sent a client plans four days ago, and he hasn’t answered

Ordinary calendar and emailThe email sits in "Sent", and nobody reminds you

AI personal assistantReminds you on the day you set, and drafts a short nudge to the client, which waits for your approval

Two meetings were booked for the same hour

Ordinary calendar and emailThe calendar shows them one on top of the other, and you notice that same morning

AI personal assistantMessages you the day before, and suggests which one to move and to what time

The assistant reads emails, and sometimes it will misread one. That’s why everything that goes out in your name passes through you first, and there’s a list of everything it did. What else is worth knowing before connecting an assistant to your email: our guide to AI personal assistants.

What the assistant does on its own, and what comes to you first

You decide what it does without asking. Until you decide otherwise, nothing goes out in your name without approval.

On its own

  • Reads your calendar and your email
  • Sorts email: urgent, can wait, promotion
  • Sends you a morning summary and reminders
  • Prepares suggested replies and invites, and sends them to you
  • Adds tasks to your list
  • Logs everything it does

Prepares and asks

  • Every email that goes out in your name
  • A meeting invite, and moving a meeting that’s already booked
  • A reminder to a client about a quote or a payment
  • A reply to a client about a price or a contract: only after you’ve read it

No access

  • Your password
  • Your bank account and credit card
  • Deleting emails
  • Changing settings in your email account
  • Anything you didn’t ask us to connect, such as your personal email

Whatever is waiting for approval reaches you wherever suits you: WhatsApp, Telegram or email. One message, with the full wording and the name of whoever will receive it. The assistant drafts a sensitive email, such as an apology to an angry client, only if you ask, and you send it yourself. More detail: how your information is kept safe.

The apps it works with

The assistant works in the email, calendar and lists you already have. You don’t move to a new mailbox or install another calendar. Can’t see one of your apps here? Send us its name and we’ll check.

Email and calendar

  • Gmail
  • Google Calendar
  • Outlook

Files and spreadsheets

  • Google Drive
  • Google Sheets
  • Word and Excel (Microsoft 365)

Tasks and clients

  • monday.com
  • Trello

How you talk to it

  • WhatsApp
  • Telegram
  • Email

You don’t hand it your password. It gets its own access, only to what the work needs, and can be disconnected at any time without changing a password. Exactly what it will see in your email and calendar is settled together on the intro call.

Getting started: five steps until the assistant is working for you

One task at a time. Whatever gets sent to clients joins last.

  1. Intro call

    We need you here

Together we go through a normal week of yours: how many emails come in a day, how meetings get booked, and what slipped through in the past month. We pick a first task, usually the morning summary, because it reaches only you.

  2. Connecting

    We need you here

We connect the assistant to your email and calendar, and you approve the connection in your own account, without handing over a password. This is also when we decide together which address emails in your name will go out from. The assistant itself runs on a separate computer in the cloud.

  3. Test on your own email and calendar

    We need you here

A week in which the assistant only reads and summarizes, and nothing is sent to anyone. Each morning you read the summary, and correct by message whatever is off, for example "an email from the planning office is always urgent". It remembers the correction for next time.

  4. It starts working

    We need you here

When the summaries are accurate, it starts preparing suggested replies and meeting invites. Each one comes to you for approval, and you can change the wording before it’s sent.

  5. Ongoing support

We regularly go through what it did and what you corrected, fix things when something changes on your side, and add a new task only when the previous one runs without corrections.

A first, simple task such as the morning summary can be working within three days of connecting, with everything that goes out in your name still waiting for your approval. All the tasks together, including booking meetings and reminders to clients, take one to two months. Worth reading: what to prepare before the call.

A human assistant, a chat app or an AI personal assistant

Three ways to get scheduling and email off your plate:

A secretary or personal assistant

Full-time or part-time

A client asks for a meeting
Arranges it personally, by phone or email
At 7:30 in the morning
Not at the office yet
What they know about you
Knows you and your clients, including what was never written down
Who connects it and sets it up
You train them
What you pay
A monthly salary

A chat app such as ChatGPT

You open it and type

A client asks for a meeting
Words a reply for you, when you open it and ask
At 7:30 in the morning
Does nothing until you open it
What they know about you
Only what you typed in, and what you connected to it yourself
Who connects it and sets it up
You, on your own
What you pay
A monthly subscription to the app

An AI personal assistant

We connect and support it

A client asks for a meeting
Finds a slot in the calendar, prepares the invite, and sends once you approve
At 7:30 in the morning
The morning summary is already waiting on WhatsApp
What they know about you
What’s in your email and calendar, and what you’ve asked of it so far
Who connects it and sets it up
We do, together with you
What you pay
A one-time setup fee, monthly support and AI usage

The hours a secretary puts into scheduling, sorting email and reminders are what an AI assistant can replace. A client who needs personal attention, and a difficult conversation, stay with a person. Some businesses combine the two: a secretary for the relationship with clients, and an AI assistant for what repeats every day.

When it isn’t a fit

Four situations where we’ll tell you not to start:

Few emails, and hardly any meetings to book

With fewer than twenty work emails a day and hardly any meetings to book, a tidy calendar and two email rules are enough, such as sending promotions to a separate folder. An assistant with nothing to do is one more monthly bill.

All you need is summaries and drafts

Gmail and Outlook already have a built-in helper (Gemini, Copilot) that summarizes emails and drafts replies. If that’s all you’re missing, try it first. People come to us when they also want someone to book meetings and chase what went unanswered.

You don’t have a few minutes a day to read and approve

In the first weeks every email and invite goes through you. If you don’t read them, you’re left with an assistant that only summarizes.

Your email holds other people’s medical or legal information

A clinic or a law firm doesn’t connect its email before checking where the information is kept, and what clients have agreed to. Until then, we don’t start.

Frequently asked questions

Is this an app I need to download?

No. There’s nothing to download, and no new account to open. We connect the assistant to the email and calendar you already have, and you message it on WhatsApp, the way you’d message an assistant in the office. You can talk to it on WhatsApp, Telegram or email, whichever suits you.

Will it send emails in my name without my approval?

No, until you decide otherwise. At first it prepares, and you approve every email and every invite. After a few weeks you can decide that simple things, such as a meeting invite to an existing client, go out without asking. It’s your decision, and you can reverse it with one message.

Will the emails come from my address?

We decide that with you at the connecting stage. At first the email goes out from your own mailbox, after you approve it, and the client sees a normal email from you. If you’d rather the assistant wrote from a separate address, under its own name, we set it up that way. The assistant’s name and how it presents itself are yours to choose as well.

What about messages clients send me on WhatsApp?

If clients write to you on WhatsApp Business, that can be connected too, and the assistant will include those messages in the summary. Regular WhatsApp is something we check together on the intro call.

Can it also make phone calls for me?

Yes, if you want. At first the assistant works in messages and email. Phone calls are a separate add-on, and only for calls you approved in advance, such as confirming someone is coming to a meeting. Without your approval it doesn’t call anyone.

Who sees my emails?

The assistant runs on a separate cloud computer used only by your business, so your emails aren’t mixed with any other business’s. To read an email and draft a reply, it passes it to the AI company that powers it, such as OpenAI, Anthropic or Google. Before connecting, we agree with you on what that company may do with your emails. Together we choose a company and terms under which your emails are used for nothing but the assistant’s work. It doesn’t get your password, and it can be disconnected at any time.

And what if it gets something wrong?

In the test week it only reads and summarizes, so a mistake stays between you and it. After that, every email and invite comes to you before it’s sent, with the full wording. When a mistake repeats, we fix what caused it. And there’s a list of everything it did, so you can always see what happened.

How much does an AI personal assistant cost?

You pay once for the setup, then a monthly fee for ongoing support. There is also a monthly charge for using the AI itself, and it appears in the proposal you receive. You get the exact price in writing before we start. Worth reading: what the price is made up of.

What would you take off your morning?

Message us on WhatsApp with how many emails you get a day, and how your meetings get booked. We’ll tell you what an assistant can take on, and what would stay with you. No commitment.
