AI Agent for Real Estate: What It Takes Off a Broker's Plate

An AI agent for real estate matches each new listing to the buyers waiting for it, builds a marketing kit from the photos and a sheet for the price talk with the owner.

An AI agent for real estate comes in at a moment every broker knows. You've just finished showing a three-bedroom apartment, and seven messages are waiting on your phone. A prospect asks whether there's an elevator, an owner wants to drop the price, and a couple booked for tomorrow asks to reschedule. By the time you reach the car you'll have forgotten what the buyer said about the kitchen.

Keeping the messages in order can be handed over. The conversation with the buyer can't.

In short

  • An AI agent for real estate is a digital assistant you tell what to do on WhatsApp, Telegram or email, and it works in the brokerage's listings sheet, calendar and messages.
  • When a new property enters your inventory it finds the buyers who are waiting for it and drafts a personal message to each. From the photos and the property card it prepares a listing, a post and a script for a video tour.
  • Before a price conversation with an owner it prepares a sheet with the viewing history. Day to day it opens a card for every prospect, summarizes every viewing and reminds you when an exclusive listing or a lease is about to end.
  • The price, the negotiation and what is said about the condition of the property stay with the broker. You start with one job, usually the summary after a viewing or matching properties to a buyer.

What does an AI agent for real estate do while you're out in the field?

Think of the person who stays at the office while you show apartments. It doesn't meet the buyer and it doesn't negotiate. It notes who got in touch and about which property, checks the calendar for when you're free, and prepares the message you'll send when you walk out of the apartment. When you open your phone, a short list of decisions is waiting.

In this article "the agent" is the digital assistant, and "the broker" is you, the real estate agent. If this is your first encounter with the subject, the explainer what is an AI agent describes how an assistant like this connects to a business's software.

You don't need special brokerage software to start. A listings sheet in Google Sheets, a calendar in Google Calendar and a photo folder in Google Drive are enough.

End of day without an agent

Everything is in your head and in WhatsApp.

  • The new price is written in a message from the owner
  • What the buyer said at the viewing stays in memory
  • The portal listing still shows the old price

End of day with an agent

One list, organized by property.

  • A card for every prospect, with what they asked for
  • A summary of every viewing on the buyer's card
  • A list of every place where the price needs updating

What does a broker's day look like with an agent?

Pick a time and see what was sent to the agent and what came back. This is an illustration of a possible day at a small brokerage, not a record of any particular office.

08:15 · Before leaving home

What came in since last night?

Two inquiries about the three-bedroom on Vine Street: one asks about an elevator and parking, the other wants to see it today after 17:00. Your calendar is free at 17:30, and the owner wrote that you can go in after 17:00.

And the apartment on Palm Street that you added to the inventory yesterday: two active buyers are looking for exactly that. One of them passed on a similar apartment last month because it had no parking, and this one has it. I prepared a personal message for each.

✓ 2 replies waiting for approval · Viewing proposed for 17:30 · 2 messages to buyers about Palm Street

Send everything, and book 17:30.

13:40 · Walking out of a viewing

The couple from Vine Street: loved the living room, the kitchen is too small for them. They want to come again with her father on Thursday. Haven't spoken to a mortgage advisor yet.

I noted it on their card. I prepared a follow-up message with two possible times on Thursday, and a reminder for you to ask about the mortgage.

Should I also prepare an update for the owner? There have been four viewings there so far, and two of them commented on the kitchen.

Message to the buyers waiting for approval · Update to the owner: not sent

Yes, but without mentioning the mortgage.

18:20 · An owner drops the price

The apartment on Cedar Street goes down to 2,390,000. He confirmed it to me on the phone.

The old price appears in four places: on the office website, on two property portals and in a post from two weeks ago. I can update the website after approval. The other three need updating by hand, and the links are attached.

Six prospects were given the previous price. Two of them wrote back then that it was above their budget.

Website update waiting for approval · 3 manual updates · Message to two prospects ready

Update the website and send it to the two.

What repeats in all three conversations: the agent records, compares and prepares, and you decide in one line.

A new property in your inventory: which of your buyers is waiting for it?

This is the work a broker does in their head, usually in the car: "Who was looking for something like this?" The agent does it from the cards. When a property enters the inventory, or when the price of an existing one drops, it goes over all your active buyers and returns three lists.

An illustration. The property, the names and the details are made up. The agent works only from your own office's inventory and cards, not from portal data.

For every matching buyer a message is waiting that was written for them: "You were looking for three bedrooms with parking near the school. An apartment like that came to us yesterday." The agent separates "must have an elevator" from "would prefer a balcony," according to what the buyer said. A detail that isn't recorded on the property card shows up as a question mark, not as a match. Who gets a message, and who gets a phone call from you, is your decision.

What else does an AI agent for real estate prepare that only a broker needs?

Four jobs you won't find at an accountant's office or in a shop. Which of them can be set up for you is something we check on the intro call.

A marketing kit for the property

  • When: you signed with an owner, filled in the card and uploaded photos.
  • What's ready: a short listing for the portals, a description for the office website, a post and a one-minute script for a video tour. "Open view" goes in only if you wrote it.
  • With you: the details, the photos and the publishing.

A sheet for the price conversation

  • When: you wrote "I'm talking to the owner of the Cedar Street apartment tomorrow."
  • What's ready: how many weeks the property has been on the market, how many inquired, how many viewed it and what they said, and similar apartments the office sold in the neighborhood, from your own records.
  • With you: what you recommend to the owner. A buyer's budget doesn't go into the sheet unless you said so.

A lease or an exclusive that's ending

  • When: two to three months before the date recorded on the card.
  • What's ready: a reminder for you, a message to the owner (is the tenant staying, are we looking for a tenant, or selling?) and the list of active renters who match.
  • With you: the message and the conversation. This way the property comes back to you before the owner puts up a listing on their own.

The brokerage services agreement

  • When: a viewing was booked with a buyer who hasn't signed with you yet.
  • What's ready: the office's template with the buyer's name, the property address and the commission you set. A missing field is flagged.
  • With you: the commission and sending it for signature. You bring the template, after the office's lawyer has gone over it.

The agent can publish the posts to the office's pages itself after approval, as in social media management with an AI agent. On property portals and in Facebook groups you paste the ready text, unless we've checked together that a connection exists.

And this is what the heart of the price-conversation sheet looks like. You come to the conversation with what happened at the property, not with a feeling.

Which routine jobs at a brokerage can be handed to an agent?

Around all of these there is the routine: three jobs that come back every day.

What happenedWhat the agent preparesWhat you decide
An inquiry about a listing, on WhatsApp, a form or emailA buyer card with the property, the area, the budget and the move-in date. If all that arrived was "still available?", one follow-up questionWhat to answer, and which time to offer for a viewing
A new buyer, or a buyer who changed their requirementsA short list of properties from the inventory, with a line for each explaining why it fitsWhat you show them, and in what order
You walked out of a viewing and wrote two linesA summary on the buyer's card, a follow-up message and a reminder. For an exclusive listing: a weekly update for the ownerWhat gets passed on to the owner

A phone number that already appears in your records is linked to the existing card, with no duplicate. A viewing is proposed according to your calendar and the hours the owner approved. Managing the calendar and the reminders is the work of an AI personal assistant for your business, and it doesn't end with viewings.

What happens when the owner drops the price?

The price changes in a phone call, and the old listing keeps running in at least one place. The agent keeps, for every property, a list of the places where it is advertised, and when you write it a new price it goes through all of them.

A new price for a property · what happens to it

  1. You write to the agentThe new price, after the owner confirmed it to you
  2. Updates the property cardThe previous price and the date are kept
  3. Prepares a list of updatesThe website, the portals, posts, and prospects who were given the old price
  4. You approveWhat gets updated now and who gets a message

It updates the property page on the office website itself after approval, as part of website and store management with an AI agent. When a property is sold it leaves the matching lists, and you get a list of everyone who was waiting for an answer about it. The agent can make mistakes too, for example linking an inquiry to a different apartment on the same street. You correct the card, and it remembers the correction.

How many hours a week go to everything around the deal?

Before deciding where to start, it's worth seeing where the time goes. Move each row to the number that's true for your office, and uncheck whatever doesn't apply.

Hours a week on work that isn't a meeting with a buyer or an owner

4 h
2 h
2.5 h
2 h
1 h

10.5 hours a week

45 hours a month

This is the time this work takes you today, according to the numbers you entered. It is not a promise of savings: part of it will stay with you, because every message and listing goes through approval. The highest row is a good candidate for the first job.

What don't you let the agent decide in a real estate deal?

The limits come from the profession, not from the technology. How much the property is worth, what is offered to the seller and how the negotiation is run are for a broker to decide. An answer about moisture problems, unpermitted construction or the state of the title is also given by a broker who checked, not by an agent that worded it nicely. A contract is drafted by a lawyer, a value is set by an appraiser, and a mortgage is checked by an advisor.

The agent prepares on its own

  • A list of buyers who match a new property
  • A prep sheet for a price conversation
  • A viewing summary and reminders

Waits for your approval

  • A message to a buyer or an owner
  • Publishing a listing and photos
  • A price update the public sees

Off-limits to the agent

  • A price recommendation and negotiation
  • Contracts, appraisals and mortgages
  • Transferring money and deletion that can't be undone

The first two columns are the starting point, and you can move things between them. A broker who wants every nighttime inquiry to get an immediate "Got it, we'll get back to you in the morning" defines the wording once, and the agent sends it on its own.

The brokerage license is in your name, not the software's. In Israel, according to the Ministry of Justice's service page, the conditions for getting one include being 18 or older and passing an exam on real estate brokerage law. Licensing rules differ from country to country, so check the ones that apply where you work. That's why we build the work so that the agent prepares and the broker decides.

A buyer's budget, a door code and photos of an apartment people live in shouldn't be open to everyone. To match properties the agent doesn't need ID documents, mortgage approvals or codes, so they aren't connected at the start. You can read about choosing permissions in the article on AI agent security.

What else does the agent do for a brokerage?

A broker is also a business owner: people need to find you on Google, the website needs to be up to date and someone needs to manage your calendar. The same agent can take those on too, each one separately and at your pace.

  • Google search: a page for every neighborhood you work in, with your properties there, so that someone searching "apartments for sale" in the neighborhood reaches the office too and not only a portal.
  • Running the website: a new property goes up on the office website with photos and a price, and a sold property is marked "sold," after your approval.
  • Personal assistant: every morning, the order of the viewings, which key needs collecting and from where, and which exclusive ends this month.
  • Replies to prospects: someone who writes at 11 PM gets an answer about the floor, the elevator and parking from the property card. A question about price goes to you.
  • Social media: a post for every new property and a "sold" post when a deal closes, from your photos and with your approval.
  • Paid advertising: a campaign for an exclusive listing or for winning new listings in a neighborhood. It checks every day what brought inquiries, and a budget change waits for your approval.
  • Office work: the brokerage services agreement, a weekly report for an owner and a reminder before an exclusive ends, without anyone typing.

Is your office ready for a first job?

Pick one job, for example matching properties to a buyer, and mark what you already have. Your checkmarks aren't saved.

Before handing property matching to an agent

0 of 6

The first two items are the heart of it. If the inventory is scattered across the brokers' phones, start with viewing summaries: there the agent works from what you write to it, and the inventory falls into place along the way.

How do you start without turning the whole office upside down?

We would start with the summary after a viewing or with property matching. In both, the output stays with you until you approve it, and you quickly see what's missing on the cards. If what you'd like to hand over is the decision on which price to suggest to the seller, we wouldn't start there.

Bring the listings sheet as it is and three real inquiries from the past week to the intro call. Together we go over what the agent would have prepared from them, including the awkward cases: a buyer who changed budget, an apartment that sold yesterday, a one-word message. Publishing listings is added once the cards are accurate, because the listing is written from them.

At Platin Digital the agent works on a separate cloud computer used only by your office, with its own user in every piece of software and with a list of everything it did. A one-broker office that today pays someone to type up listings and update spreadsheets can hand that work to an agent, as part of business automation with an AI agent.

The price is built from a one-time payment for the connection, external services and monthly support, and you get the exact price in writing before we start. To see which other jobs can be added later, the example of what an AI agent does on a normal day walks through a whole day at a small business.

Frequently asked questions

What is an AI agent for real estate?

An AI agent for real estate is a digital assistant connected to the brokerage's listings sheet, calendar and messages, which carries out defined jobs: matching a new property to the buyers waiting for it, a marketing kit for the property, a prep sheet for a price conversation, a card for every prospect and a summary after a viewing. You give it tasks on WhatsApp, Telegram or email. What it may see and send is set in advance.

Do we need to replace our brokerage software?

No. First we check what your software allows to be connected. If it can't be connected, the agent works from a listings spreadsheet that you export or update, and the cards are kept there.

Can the agent publish on property portals?

It prepares the text and the choice of photos for each portal. Direct publishing depends on what each portal allows, and that is checked before anything is promised. Until then you paste ready text, and the agent records where the property is advertised so it knows where a price needs updating.

Can it reply to prospects on its own?

Yes, if you want. Brokers usually start like this: the agent prepares a reply and you approve it, and only a nighttime "Got it" message is sent on its own. A question about the price, the seller's flexibility or the condition of the apartment goes to you.

What happens when a detail about the apartment is missing?

It doesn't fill it in from imagination. If a buyer must have an elevator and the property card doesn't say whether there is one, the property appears on the list with a question mark and you get a question for the owner.
