AI Agent for Accountants and Bookkeepers: What to Hand Over

An AI agent for accountants and bookkeepers shows who hasn't sent documents before each filing deadline, chases wage statements and tells clients what arrived.

AI Agent for Accountants and Bookkeepers: What to Hand Over
AI-generated illustration

A week before the filing · a made-up illustration

The client writes: "I sent everything." In the folder there's a blurry photo of a receipt, a credit note is hiding in the email, and this month's bank statements never arrived at all. You go back to the thread to work out what came in, what belongs to last month and what you need to ask for again.

An AI agent for accountants and bookkeepers starts right here: it chases the material, and you check it.

In short

  • An AI agent for accountants and bookkeepers is a digital assistant that takes tasks from you on WhatsApp, Telegram or email, and works in the folders, email and spreadsheets you connected it to.
  • Before every filing deadline it shows which clients haven't sent their material yet and drafts a reminder for each one. In annual return season it chases annual wage statements and year-end certificates, against a list for each client.
  • It answers the client who asks "did you get the invoice?", logs a tax authority letter that a client photographed and sent, and prepares material for bank reconciliations and payroll.
  • Classification, posting to the books, payroll calculation, filing returns and professional answers to clients stay with you. You start with one process, usually the status picture before a filing deadline, after checking where client information goes.

An AI agent for accountants and bookkeepers: the one who prepares your tray

Think of a tidy document tray next to your desk: the month's invoices together, the bank statements beside them, and on the tray a note listing what's missing. The agent prepares that tray. You sit down, see what's there and what's open, and start on the professional work right away.

At a bookkeeping practice the tray is a client's monthly file: invoices, receipts and bank statements. At an accounting firm it can also be the prep file for an annual return, with the certificates that arrived and the list of what's outstanding. You choose only the work that is actually done at your practice.

The request to the agent sounds like a request to an employee: "Go over this month's file and tell me what hasn't arrived." It returns a list with a link to each document, and flags whatever it couldn't read.

Before: scattered material

You start by searching

  • An invoice and its credit note in two different threads
  • A bank statement with no telling which month it belongs to
  • No single list of what's missing

After: a tray that's ready

You start by checking

  • A document list with a link to every file
  • Whatever is unclear is flagged separately
  • A request for what's missing waits for your approval

For the basics you can read what is an AI agent. Here we stay at the practice: bookkeeping files, payroll and annual returns.

What does a working day at a practice look like with an agent?

Pick a time and see what was sent to the agent and what came back. This is an illustration of a possible day at a small practice, not a record of any particular practice or client.

08:15 · Five days before the filing deadline

Where do we stand with the material for the filing?

18 clients file on this deadline. For 11, all the material has arrived. 5 are missing bank statements or a credit card statement, and two of them have already had two reminders and haven't answered. For 2, a file arrived that I couldn't read.

✓ 11 ready to check · ! 5 requests waiting for approval · ? 2 files for you to check

Send it to three. I'll call the two who didn't answer.

11:40 · A client sends a photo of a letter

A client photographed a letter from the tax authority and asked "what is this?". The heading says it's a request to produce documents, and it carries a date: October 28. I attached the photo to the file and logged it in the list of letters.

I replied that the letter was received and passed to whoever handles his file. I didn't tell him what the letter means.

! A letter with a response date · Waiting for you

He also asked whether we got the invoice for the laptop.

It was received on October 3 and appears in this month's document list. I answered him.

15:20 · Payroll material

What's missing for this month's payroll?

Attendance reports arrived from three employers. At the fourth there's a new employee with no new-hire tax form, and the attendance report hasn't arrived yet.

Request to the employer · Waiting for approval

An illustration. The numbers and details in the example are made up.

What repeats in all three conversations: the agent collects, compares and reminds, and you check and decide. The chasing comes off your plate, and whatever needs a professional reaches you with the document already attached.

What does an AI agent for accountants and bookkeepers do that only an accounting practice needs?

Four jobs that only someone who lives by the filing calendar knows. The first is the one we would start with: a few days before a date in the practice's deadline calendar, the agent goes over every client who files on it and returns a single board.

Five days to the filing deadline 18 clients file on this deadline · five of them here InvoicesBank stmtCredit cardStatus now Restaurant ✓✓✓ Ready to check Renovation contractor ✓!✓ Reminder to approve Online store ✓✓? Unreadable file Clinic ✓!! 2 reminders · call Architecture firm !!! Sent nothing ✓Arrived !Missing ?Arrived, unreadable
An illustration. The clients, the numbers and the status are made up. The practice decides which documents go on the board.

Next to every yellow mark a reminder is waiting in the practice's own style, asking for exactly what's missing. Anyone who got two reminders and didn't answer moves on to a phone call from you. If you want automatic reminders with fixed wording, you set in advance who gets them and when they stop.

In all four jobs the agent works from the practice's lists and folders and does not touch the books. Which of them can be set up at your practice is something we check on the intro call.

The job and what triggers itWhat the agent doesWhat stays with you
A status picture before a filing deadline. A few days before a date in the practice's calendar, for example a VAT return or advance tax paymentsFor every client filing on that date, compares what arrived with that client's document list, according to the filing frequency you recordedThe deadline calendar, sending the reminders, and what gets filed for a client who didn't send anything
Chasing annual wage statements. You opened the tax year for a group of clientsMarks against each client's list what has arrived: a wage statement from every employer, year-end certificates from the bank, the pension funds and the insurer, donation receipts. A form from a different year is flagged separatelyEach client's list, checking the figures, preparing the return and filing it
"Did you get the invoice?". A client asks whether material arrived, or asks for a certificate that's already saved in the fileAnswers from what was logged: "The invoice from October 3 was received. Yesterday's receipt is cut off, could you photograph it again?"What it answers on its own. "Is the expense deductible?" goes to whoever handles the file, and a certificate that needs a signature opens as a task for you
A letter from the authorities that a client photographed. A client sends a picture of a letter and asks "what is this?"Logs in one list which body the letter is from, which client it concerns, what the heading says and what date appears in it, and confirms to the client that the letter was receivedWhat the letter means, what the answer is and when. The agent does not reassure the client that "it's nothing"

"Arrived," for the agent, means there is a file in the folder. Its content is for you to check. Answering clients on "received or not" is the same work an AI customer service and sales agent does in any business, here against the client's file.

Which monthly processes at a practice can be handed to an agent?

Underneath all of these is the work of every month. These four processes can be started in folders, email and a spreadsheet, without touching the accounting software.

Invoices and receipts

  • What triggers it: a new file arrives in the client's email or folder.
  • What it does: adds the supplier's name, the date and the invoice number to the file's list, and suggests which period it belongs to.
  • What's flagged for checking: a cut-off photo or an invoice that looks like a duplicate. The original file is kept.
  • With you: the classification, the VAT treatment and posting to the books.

Bank reconciliation prep

  • What triggers it: you gave it a bank statement and a ledger for the same period.
  • What it does: suggests matches according to your rules.
  • What stays on a separate list: one transfer that settles several invoices, or two identical amounts.
  • With you: approving the matches, looking into the differences and the adjusting entries. It does not log into the bank account.

Payroll material

  • What triggers it: the date you set with the employer, or a new attendance report.
  • What it does: checks against the employee list that everything arrived, and produces one list of outstanding items per employer.
  • What goes on the list: a new employee with no new-hire tax form, a missing attendance report, a pay change without the approval you require.
  • With you: interpreting the hours and absences, calculating pay and producing the pay slips.

An onboarding kit for a new client

  • What triggers it: you decided to take on a new client.
  • What it does: sends the practice's onboarding kit: the list of what to bring and the authorization forms you have clients sign.
  • What it tracks: what came back signed and what's still open.
  • With you: the decision to take the client, and registering with the authorities.

What happens when a document doesn't fit the file?

Say an invoice in another business's name arrived in this month's file. The agent flags that the name doesn't match, leaves the file out of the material that's ready for posting and shows it to you. It does not move it to another client's file just because the name is similar.

An invoice with a name that doesn't match · what happens to it

  1. The document arrivedIn the client's folder
  2. The name doesn't matchThe agent flags the file for clarification
  3. You checkAnd decide where it belongs
  4. The decision is recordedAnd the agent follows it from then on

The agent can make mistakes, like a new employee. So in the first test you also feed it a duplicate document, a blurry photo and a file from the previous year, and see that it flags them and doesn't guess. If it assigned something wrongly, you correct the list and the rule that led to the mistake, and test again.

What don't you let the agent decide at an accounting practice?

So far, what you gain. The limits are gathered here.

The professional call. Whether an expense is deductible, how to classify it, what goes into the return and what gets filed: these stay with the accountant or the bookkeeper. So do payroll approval, the signature and filing the returns.

Deadlines and requirements. The document lists and the filing dates come from the practice. The agent works by what you set, and does not piece requirements together from a general answer it found online.

Client information. Pay slips, bank statements and account numbers are personal information, and not every tool that can read a file is right for them. In Israel, the Privacy Protection Authority's guide to implementing Regulation 15 of the Data Security Regulations explains that the regulation is meant to govern an engagement with an outside party (other than a single individual) providing a service that involves access to the database. So before you connect a provider, you check whether this applies to you and what the agreement with them needs to include. If you work elsewhere, check the privacy rules that apply where you practice. More in the article on AI and Amendment 13 to Israel's Privacy Protection Law.

The agent prepares on its own

  • A status picture before a filing deadline
  • A table of what's missing for the annual returns
  • Logging a letter from the authorities in the client's file

Waits for your approval

  • A reminder to a client or an employer
  • Matching a bank transaction
  • Sending a certificate from the file to a client

Stays with the professional

  • An accounting or tax decision
  • Payroll approval and filing returns
  • Audit and signature

At Platin Digital the agent works on a separate cloud computer used only by your practice, with its own user and narrow permissions in each system. When the information is sensitive, you choose a provider and a plan that do not train on the information. Inside the practice you keep the same separation: a document from one file is not used to answer about another, and messages carry a status and a link to the folder, not the pay slip itself. More detail in the article on AI agent security.

Four myths about AI at an accounting firm

Click each statement to see what happens in practice.

Myth"The agent will classify and post invoices instead of me"

In practiceIn the processes we described it doesn't touch the books. It gathers the material, flags what's missing and what's unreadable, and hands you a tidy file. Classification and posting stay with you.

Myth"To work with it you have to replace your accounting software"

In practiceYou start with the folders, email and spreadsheet the practice already has. Connecting to the software is a separate step, checked according to what the software allows.

Myth"Clients will get tax answers from it"

In practiceIt answers "received or not received" and sends a document that's already saved in the file. A professional question goes, with the document, to whoever handles the file.

Myth"Reminders from a machine will annoy clients"

In practiceThe wording is yours, and it asks only for what's missing. You set how many reminders go out, and anyone who hasn't answered twice moves on to a phone call from you.

Does your practice have a process that's right to start with?

Pick one process, for example tracking missing bank statements, and mark what you already have. Your checkmarks aren't saved.

Readiness for tracking missing documents

0 of 5

If there is no written document list, start with that: it's worth something even without an agent. If your software already gathers what's missing and sends reminders, check what remains outside it before adding an agent. And if most of what's stuck at your practice is professional calls, an agent won't solve that.

How do you start?

Bring an example with no identifying details to the intro call: one monthly file, its document list and the wording of a request you send today. Together we check whether the folders, email and spreadsheets you already have are enough to work with. A connection to the accounting software is checked separately, according to what the software allows.

Success at the first stage is easy to check: a list of what's missing that matches the material, with a link to every document and a flag on everything that's unclear. When that works, you add a second process, for example gathering the certificates for an annual return.

We set up processes like these as part of business automation with an AI agent.

What else does the agent do for an accounting firm?

Collecting the material is only part of the practice. The same agent can also take care of your website, your inquiries and your routine, and each area starts separately. This is what the seven areas look like at an accounting practice. For examples from other businesses: what an AI agent does in a business on a normal day.

Someone starting a business types "sole proprietor or company" into Google long before they look for an accountant. You say in a voice message what you answer, and it writes a draft article for the practice's website from it, which goes up after you approve.

Updated your "what to bring for the annual return" list? The page on the site is updated from one message, and you can set a regular check of the contact form.

In the morning a summary is waiting for you: which deadlines are coming up in the practice's calendar, who asked you to get back to them and which emails are waiting for a reply.

A new inquiry from the website gets the questions you ask on the phone: self-employed or a company, whether a file has already been opened with the authorities, and who kept the books until now.

Before annual return season it prepares, from your list, a draft post on "what to prepare for your accountant." The post is published after you've read it.

If the practice advertises on Google, it goes over the campaign every day and reports which searches brought inquiries. Wording and budget change only with your approval.

Everything we described in this article: the status board before a filing deadline, the table of what's missing for the annual returns, the list of letters and the payroll material.

Frequently asked questions

What is an AI agent for accountants and bookkeepers?

A digital assistant connected to the folders, email and tools the practice approved, which carries out tasks in them such as a status picture before a filing deadline, chasing annual wage statements, gathering invoices and reminding clients. It prepares the material for checking. The accounting and tax decisions stay with the professional.

Can the agent post invoices directly into the accounting software?

It depends on the software and the connection it allows, and that is checked separately for each program. You don't need it to start: a list of documents and what's missing works outside the software, with no change to the books.

Can it tell a client whether an expense is deductible?

No. It passes the question, with the document, to whoever handles the file. Once you've decided on the answer it can word it, and it goes out with your approval.

Do we have to work with the agent through Telegram?

No. You choose WhatsApp, Telegram or email, whichever suits the practice. Separately, you set which information travels over the channel: a message can say that bank statements are missing and point to the folder, without attaching the statements to the chat.

Is it also right for a self-employed bookkeeper?

Yes, if there is a process that comes back every month, such as collecting material and listing what's missing. You don't need annual returns or payroll for it to be useful. You start with what you actually do.

What do we do if the agent assigns a document to the wrong client?

You stop work on the document, check what else was done as a result of the assignment, and correct the list and the rule that led to the mistake. If information reached someone who wasn't supposed to see it, you pass that straight to the person responsible at the practice, and don't settle for moving the file to the right folder.
